These say that personal data must:<\/p>\n<ol>\n<li>Be processed fairly and lawfully<\/li>\n<li>Be obtained only for specific, lawful purposes<\/li>\n<li>Be adequate, relevant and not excessive<\/li>\n<li>Be accurate and kept up to date<\/li>\n<li>Not be held for any longer than necessary<\/li>\n<li>Processed in accordance with the rights of data subjects<\/li>\n<li>Be protected in appropriate ways<\/li>\n<li>Not be transferred outside the European Economic Area (EEA), unless that country or territory also ensures an adequate level of protection<\/li>\n<\/ol>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n        <h2>People, Risks and Responsibilities<\/h2>           <h3>Policy scope<\/h3>\n          <div class=\"policy_item_content\">\n             <p>This policy applies to:<\/p>\n<ul>\n<li>The head office of Blue Forest (UK) Ltd<\/li>\n<li>All staff and volunteers of Blue Forest (UK) Ltd<\/li>\n<li>All contractors, suppliers and other people working on behalf of Blue Forest (UK) Ltd<\/li>\n<\/ul>\n<p>It applies to all data that the company holds relating to identifiable individuals, even if that information technically falls outside of the Data Protection Act 1998. This can include:<\/p>\n<ul>\n<li>Names of individuals<\/li>\n<li>Postal addresses<\/li>\n<li>E-mail addresses<\/li>\n<li>Telephone numbers<\/li>\n<li>Any other information relating to individuals<\/li>\n<\/ul>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Data protection risks<\/h3>\n          <div class=\"policy_item_content\">\n             <p>This policy helps to protect Blue Forest (UK) Ltd from some very real data security risks, including:<\/p>\n<ul class=\"policy_list\">\n<li><strong>Breaches of confidentiality<\/strong>. For instance, information being given out inappropriately.<\/li>\n<li><strong>Failing to offer choice<\/strong>. For instance, all individuals should be free to choose how the company uses data relating to them.<\/li>\n<li><strong>Reputational damage<\/strong>. For instance, the company could suffer if hackers successfully gained access to sensitive data.<\/li>\n<\/ul>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Responsibilities<\/h3>\n          <div class=\"policy_item_content\">\n             <p>Everyone who works for or with Blue Forest (UK) Ltd has some responsibility for ensuring data is collected, stored and handled appropriately.<\/p>\n<p>Each team that handles personal data must ensure that it is handled and processed in line with this policy and data protection principles.<\/p>\n<p>However, these people have key areas of responsibility:<\/p>\n<ul class=\"policy_list\">\n<li>The\u00a0<strong>Board of Directors<\/strong>\u00a0is ultimately responsible for ensuring that Blue Forest meets its legal obligations.<\/li>\n<li>The\u00a0<strong>Data Protection Officer, Simon Payne<\/strong>, is responsible for:\n<ul>\n<li>Keeping the Board updated about data protection responsibilities, risks and issues.<\/li>\n<li>Reviewing all data protection procedures and related policies, in line with an agreed schedule.<\/li>\n<li>Arranging data protection training and advice for the people covered by this policy.<\/li>\n<li>Handling data protection questions from staff and anyone else covered by this policy.<\/li>\n<li>Dealing with requests from individuals to see the data Blue Forest holds about them (also called subject access requests).<\/li>\n<li>Checking and approving any contracts or agreements with third parties that may handle the company\u2019s sensitive data.<\/li>\n<\/ul>\n<\/li>\n<li>The\u00a0<strong>Office Manager, Shar Maytum<\/strong>, is responsible for:\n<ul>\n<li>Ensuring all systems, services and equipment used for storing data meet acceptable security standards.<\/li>\n<li>Performing regular checks and scans to ensure security hardware and software is functioning properly.<\/li>\n<li>Evaluating any third-party services the company is considering using to store or process data; for instance, cloud computing services.<\/li>\n<\/ul>\n<\/li>\n<li>The\u00a0<strong>Administration Assistant, Caryn Mitten<\/strong>, is responsible for:\n<ul>\n<li>Approving any data protection statements attached to communications, such as e-mails and letters.<\/li>\n<li>Addressing any data protection queries from journalists or media outlets like newspapers.<\/li>\n<li>Where necessary, working with other staff to ensure marketing initiatives abide by data protection principles.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>General Staff Guidelines<\/h3>\n          <div class=\"policy_item_content\">\n             <ul class=\"policy_list\">\n<li>The only people able to access data covered by this policy should be those who\u00a0<strong>need it for their work<\/strong>.<\/li>\n<li>Data\u00a0<strong>should not be shared informally<\/strong>. When access to confidential information is required, employees can request it from their line managers.<\/li>\n<li><strong>Blue Forest (UK) Ltd will provide training<\/strong>\u00a0to all employees to help them understand their responsibilities when handling data.<\/li>\n<li>Employees should keep all data secure, by taking sensible precautions and following the guidelines below.<\/li>\n<li>In particular,\u00a0<strong>strong passwords must be used<\/strong>, and they should never be shared.<\/li>\n<li>Personal data\u00a0<strong>should not be disclosed<\/strong>\u00a0to unauthorised people, either within the company or externally.<\/li>\n<li>Data should be\u00a0<strong>regularly reviewed and updated<\/strong>\u00a0if it is found to be out of date. If no longer required, it should be deleted and disposed of.<\/li>\n<li>Employees\u00a0<strong>should request help<\/strong>\u00a0from their line manager or the Data Protection Officer if they are unsure about any aspect of data protection.<\/li>\n<\/ul>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Data Storage<\/h3>\n          <div class=\"policy_item_content\">\n             <p>These rules describe how and where data should be safely stored. Questions about storing data safely can be directed to the Data Protection Officer.<\/p>\n<p>When data is\u00a0<strong>stored on paper<\/strong>, it should be kept in a secure place where unauthorised people cannot see it.<\/p>\n<p>These guidelines also apply to data that is usually stored electronically but has been printed out for some reason:<\/p>\n<ul class=\"policy_list\">\n<li>When not required, the paper or files should be kept in\u00a0<strong>a locked drawer or filing cabinet<\/strong>.<\/li>\n<li>Employees should make sure paper and printouts are\u00a0<strong>not left where unauthorised people could see them<\/strong>, like on a printer.<\/li>\n<li><strong>Data printouts should be shredded<\/strong>\u00a0and disposed of securely when no longer required.<\/li>\n<\/ul>\n<p>When data is\u00a0<strong>stored electronically<\/strong>, it must be protected from unauthorised access, accidental deletion and malicious hacking attempts:<\/p>\n<ul class=\"policy_list\">\n<li>Data should be\u00a0<strong>protected by strong passwords<\/strong>\u00a0that are changed regularly and never shared between employees.<\/li>\n<li>If data is\u00a0<strong>stored on removable media<\/strong>\u00a0(like a CD or DVD), these should be kept locked away securely when not being used.<\/li>\n<li>Data should only be stored on\u00a0<strong>designated drives and servers<\/strong>, and should only be uploaded to an\u00a0<strong>approved cloud computing services<\/strong>.<\/li>\n<li>Servers containing personal data should be\u00a0<strong>sited in a secure location<\/strong>, away from general office space.<\/li>\n<li>Data should be\u00a0<strong>backed up frequently<\/strong>. Those backups should be tested regularly, in line with the company\u2019s standard backup procedures.<\/li>\n<li>Data should\u00a0<strong>never be saved directly<\/strong>\u00a0to laptops or other mobile devices like tablets or smart phones.<\/li>\n<li>All servers and computers containing data should be protected by\u00a0<strong>approved security software and a firewall<\/strong>.<\/li>\n<\/ul>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Data Use<\/h3>\n          <div class=\"policy_item_content\">\n             <p>Personal data is of no value to Blue Forest (UK) Ltd unless the business can make use of it.<\/p>\n<p>However, it is when personal data is accessed and used that it can be at the greatest risk of loss, corruption or theft:<\/p>\n<ul class=\"policy_list\">\n<li>When working with personal data, employees should ensure the screens of their computers are always\u00a0<strong>locked when left unattended<\/strong>.<\/li>\n<li>Personal data should\u00a0<strong>not be shared informally<\/strong>. In particular, it should never be sent by e-mail, as this form of communication is not secure.<\/li>\n<li>Employees should\u00a0<strong>not save copies of personal data to their own computers<\/strong>. They should always access and update the central copy of any data.<\/li>\n<\/ul>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Data Accuracy<\/h3>\n          <div class=\"policy_item_content\">\n             <p>The law requires Blue Forest (UK) Ltd to take reasonable steps to ensure data is kept accurate and up to date.<\/p>\n<p>The more important it is that the personal data is accurate, the greater the effort Blue Forest (UK) Ltd should put into ensuring its accuracy.<\/p>\n<p>It is the responsibility of all employees who work with data to take reasonable steps to ensure it is kept as accurate and up to date as possible.<\/p>\n<ul class=\"policy_list\">\n<li><strong>Data will be held in as few places as necessary<\/strong>. Staff should not create any unnecessary additional data sets.<\/li>\n<li>Staff should take every opportunity to ensure\u00a0<strong>data is updated<\/strong>. For instance, by confirming a customer\u2019s details when they call.<\/li>\n<li>Blue Forest (UK) Ltd will\u00a0<strong>make it easy for data subjects to update the information<\/strong>\u00a0Blue Forest (UK) Ltd holds about them; for instance, via the company website.<\/li>\n<li>Data should be updated as inaccuracies are discovered.<\/li>\n<li>It is the Data Protection Officer\u2019s responsibility to ensure\u00a0<strong>marketing databases are checked<\/strong>\u00a0against industry suppression files every six months.<\/li>\n<\/ul>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Subject Access Requests<\/h3>\n          <div class=\"policy_item_content\">\n             <p>All individuals who are the subject of personal data held by Blue Forest (UK) Ltd are entitled to:<\/p>\n<ul class=\"policy_list\">\n<li>Ask what information the company holds about them and why.<\/li>\n<li>Ask how to gain access to it.<\/li>\n<li>Be informed how to keep it up to date.<\/li>\n<li>Be informed how the company is meeting its data protection obligations.<\/li>\n<\/ul>\n<p>If an individual contacts the company requesting this information, this is called a subject access request.<\/p>\n<p>Subject access requests from individuals should be made by e-mail, addressed to the Data Protection Officer at\u00a0<a href=\"mailto:info@www.blueforest.com\">info@www.blueforest.com<\/a>. The Data Protection Officer can supply a standard request form, although individuals do not have to use this.<\/p>\n<p>The Data Protection Officer will aim to provide the relevant data within 14 days.<\/p>\n<p>The Data Protection Officer will always verify the identity of anyone making a subject access request before handing over any information.<\/p>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Disclosing Data For Other Reasons<\/h3>\n          <div class=\"policy_item_content\">\n             <p>In certain circumstances, the Data Protection Act allows personal data to be disclosed to law enforcement agencies without the consent of the data subject.<\/p>\n<p>Under these circumstances, Blue Forest (UK) Ltd will disclose requested data. However, the Data Protection Officer will ensure the request is legitimate, seeking assistance from the Board and from the company\u2019s legal advisers where necessary.<\/p>\n          <\/div>\n      <\/div>\n          <div class=\"policy_item\">\n                  <h3>Providing Information<\/h3>\n          <div class=\"policy_item_content\">\n             <p>Blue Forest (UK) Ltd aims to ensure that individuals are aware that their data is being processed, and that they understand:<\/p>\n<ul class=\"policy_list\">\n<li>How the data is being used<\/li>\n<li>How to exercise their rights<\/li>\n<\/ul>\n<p>To these ends, the company has a privacy statement, setting out how data relating to individuals is used by the company.<\/p>\n<p>This is available on request.
